Set up desk phones

Connect an IP desk phone or a softphone to Crulon so it rings with the browser, makes calls from your number and dials teammates by extension.

A desk phone rings alongside Crulon in the browser: whichever answers first takes the call. You can use most standard IP desk phones (SIP phones) and softphone apps.

Crulon has ready setups for Yealink, Polycom, Cisco, Grandstream, Fanvil and Snom, and sets up the Linphone softphone with a QR code. Other SIP phones work too, set up by hand.

Add a desk phone

Add the device

Open Settings > Devices and select Add device. Fill in:

  • Label: a name your team will recognise, such as “Front desk”. The phone shows it too.
  • Vendor: the phone’s brand. Choose Softphone for Linphone, or Other for any other phone.
  • Owner: the person the phone belongs to. It rings for their calls and makes calls as them.

Select Add device.

Warning

Always choose an Owner. A phone without one doesn’t ring and can’t make calls.

Save the details

Crulon shows what to enter on the phone. The password is shown only once, so keep this open until the phone is set up.

Configure the phone with the details below.

Save these now: the password is shown only once.

Connect the phone

Choose one of the three ways below. When the phone has signed in, its Status in Settings > Devices shows Online.

Set up the phone

Automatically

For Yealink, Polycom, Cisco, Grandstream, Fanvil and Snom, Crulon shows a Config URL under Auto-provision this phone. Enter it on the phone as its provisioning or auto-provision server, then restart the phone. It downloads its account and settings, and there’s nothing else to type.

The link works once, for about 10 minutes. If the phone misses it, select Rotate credential on the device for a new one.

A few Fanvil models need one setting by hand afterwards; Crulon lists it under Finish these on the phone by hand when it applies.

With a QR code

For Linphone, open Assistant > Scan QR code in the app and scan the code Crulon shows. Like the link, it works once, for about 10 minutes. Desk phones can’t scan it.

By hand

Open the phone’s settings page in a web browser and find its SIP account settings. Crulon shows where they are for each brand. Enter the Server, Username and Password, and set the Transport and Port as a pair.

Warning

Most phones have two username boxes, such as Register Name and User Name on Yealink. Put the Crulon username in both. Never put your extension there.

Choose a connection

ConnectionUse it when
TLS, port 5061Always, unless something stops it. Encrypted
TLS, port 5081Your network or internet provider blocks the standard SIP ports. The phone shows “Registration Failed” on 5061
TLS, port 443For softphones on networks that block other ports. Most desk phones refuse a port this low
UDP, port 5080Only for a phone that can’t do TLS. Not encrypted

On UDP, the phone must also send a NAT keepalive, or it stops ringing a few minutes after it signs in. Crulon shows how often to set it. Only Yealink phones send one to start; turn it on yourself on any other phone. The automatic setup does this for you.

How your desk phone rings

Your desk phone rings for every call that rings you in Crulon: Call Flows, Default ring, call queues, handoffs from the AI agent, transfers and your extension.

AvailableRingsRings
OfflineDoesn’t ringRings
Away, or on a callDoesn’t ringDoesn’t ring

The phone shows the caller’s name if they match one of your contacts, with the line they called: “Dana Reyes (Main line)”. A caller who hides their number shows as “Anonymous”.

With Crulon’s automatic setup on Yealink, Grandstream and Polycom, Reject on the phone declines the call for you everywhere, including in the browser. On Yealink and Grandstream, Do Not Disturb silences just the phone.

Calls you miss on your desk phone don’t count toward being set to Away by a call queue.

Answer a call on the desk phone

The browser shows On a call on your device, with the caller and any handoff note. Hold, transfer and recording controls in Crulon don’t work on a call you answered on the desk phone. To transfer a call, answer it in the browser.

Make calls

  • Outside numbers. Dial the number. The call goes out from your Default outbound number, set in Settings > Profile, and shows your name. Without one, or if you’re no longer on that number, calls are refused.
  • Teammates. Dial their three-digit extension.
  • Emergency calls. 911 works from a desk phone. Emergency services get your workspace’s emergency address, not where the phone is, so keep it up to date if phones move. See Emergency calls.

Calls follow your workspace’s calling rules, so blocked countries and premium-rate numbers are refused. They’re recorded if your recording settings say so.

Note

A phone needs an Owner with a Default outbound number to call out, 911 included. Check both when you add a phone.

Crulon doesn’t set up a phonebook, busy lamps or a voicemail button on the phone.

Change or remove a phone

  • Rotate credential makes a new password, with the same username. The old password stops working, so enter the new one on the phone, or use the new provisioning link or QR code. You can choose a different connection as you rotate.
  • Setup details shows the server, username and connection again, without the password.
  • Remove stops the phone signing in or ringing. It can’t be undone.

To give a phone to someone else, remove it and add it again with the new owner. When someone leaves the workspace, their phones lose their owner and stop ringing: remove them, or add them again for someone else.

If your workspace moves off Scale, desk phones stop ringing and calling. Nothing is deleted, and they work again on the same details if you return.

Device security

Block repeated failed registrations, in Settings > Devices, blocks a phone for a while after 10 wrong passwords within an hour. It’s on to start. Turn it off only while you set phones up, then turn it back on.
